What we collect, why, and the choices you have. Last updated: 2 November 2026.
To run your office, show your usage, keep the service safe, and help you when you ask. We do not sell your data and we do not use it to show you ads.
Before you can chat with our AI consultant we ask you to confirm your email with a code. When you start, you tick a box that lets us save the consultation (your email, your business details, the conversation and the proposed team) and contact you about it. We use it to improve our advice and to follow up with you. You can also tick a separate, optional box to receive news and updates from Colleo. Turning that box off stops the newsletter. To have a consultation deleted, write to contact@colleo.ai. The consultant only suggests staff. Prices always come from our published price list, never from the AI.
To write drafts, the text you give a staff member is sent to a third-party AI provider, which processes it to return a draft. We choose providers whose business terms do not allow your content to be used to train their models. We do not send your password or payment details to the AI provider. What you type to the AI consultant is sent to the same kind of provider. We send our own emails (verification codes, password resets and, if you agreed, updates) through an email service provider, which receives your email address and the message. You can ask us for the current list of our AI providers at any time.
When you connect an account, we receive only what is needed to do what you ask. For Instagram, Facebook and Threads this means the posts, comments and messages of the accounts you choose, so your staff can draft replies and publish posts you approve. For WhatsApp it means the messages sent to your business number. For Google it means permission to send emails you approve and, if you choose, to add events to your calendar. For Telegram it means the chat where you want approved posts to appear.
We use this information only to provide the features you asked for. We do not sell it, we do not use it for advertising, and we do not share it with anyone except the service providers that process it for us, such as the AI provider that writes your drafts.
Access keys for connected accounts are stored encrypted. You can disconnect any account at any time from the Connections page, and its key is removed immediately.
Colleo's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use Google data only to provide the email and calendar features you turn on. We do not use it to train AI models, and people at Colleo do not read it unless you ask for help, it is needed for security, or the law requires it.
Information we receive through Meta products (Instagram, Facebook, Threads and WhatsApp) is used under the Meta Platform Terms. We do not sell it, we do not use it to build profiles of people, and we delete it when you disconnect the account or ask us to.
You and the people you invite. Our team can see account and usage information to run and support the service, and your content only when you ask for help. Other customers cannot see your data.
While your account is active. When you ask us to close it, we delete your content within 30 days, except what the law requires us to keep, such as payment records.
You can delete your data at any time. Disconnect an account on the Connections page, or write to contact@colleo.ai and we will delete your content within 30 days. The data deletion page explains how to remove Colleo from Facebook or Instagram.
You can ask to see, correct, export or delete your data. You can turn off the newsletter at any time on the Custom office page, or write to contact@colleo.ai. If you are in Indonesia, the EU, the UK or another region with data-protection law, you have the rights that law gives you.
Connections use encryption, passwords are scrambled, and access tokens for connected accounts are stored encrypted. No system is perfect, so we also limit what each part can see and record important actions in the activity log.
